What is this about?

This is our quick guide to how we collect, use, and look after your personal data. We’ll also let you know about your rights and how you can get in touch with us if you need to.

What counts as personal data?

Basically, it’s anything that can identify you, like your name, email, job title, phone number, or even things like your social media handle.

Your rights

You can:

If you ever have a problem, you can speak to us or go direct to the Information Commissioner’s Office (ICO).

What we collect

We might collect things like:

Whether you’re booking us for an event or just dropping us an enquiry,  we only grab the info we need to get the job done properly.

How we use it

We use your details to:

You can unsubscribe from marketing stuff anytime, no hard feelings.

How long will we keep your info?

Not forever. We’ll only hold on to it for as long as we need to, for legal, tax, or operational reasons. After that, we either delete it or anonymise it so it’s no longer linked to you.

Some things we’re legally required to keep for up to 6 or 7 years, like transaction records. Employee records hang around longer (up to 75 years in some cases, HMRC rules, not ours).

Who we share it with

We don’t sell your data. Ever.

We might need to share it with trusted third-party services to help us deliver what you’ve asked for (like ticket platforms or payment processors), but we’ll always be upfront about that.

The only other time we’d pass it on is if the law tells us we have to.

Event systems & platforms

If you’re part of an event we’re involved with, any data stored in delegate systems is encrypted, kept within the UK or EU, and only kept as long as needed. Post-event, backups are wiped after 30 days unless you ask us to keep it longer.

Cookies (not the biscuit kind)

Our websites use cookies to improve your experience,  like remembering your preferences or helping us see which pages are popular. Some are essential (like when you log in), others help us improve our site.

We also work with a few trusted third parties for things like analytics and advertising, but nothing dodgy or spammy. You can manage your cookie preferences in your browser settings anytime.

Want to see what info we’ve got about you?

No problem,  just email us at hello@theconferenceworks.co.uk and ask for a subject access request. It’s free unless you ask for loads of repetitive stuff.
